Step 1: Place Signature Fields Precisely
When you add fields with the plus (+) button, position each one carefully where it belongs on the page. Precise placement matters — a field dropped in the wrong spot can shift the document's formatting or land a signature in the wrong place. Take a moment to line each field up with its signature block.
💡 Tip: If a document only needs a name rather than a drawn signature, you can simply type the name into a text field instead of adding a full signature field. It's faster for internal approvals and simple acknowledgements.
Step 2: Assign Fields by Recipient Group
For agreements with several signers, assign each signature and custom field to the correct recipient or group. This tells Aline who is responsible for which fields, and keeps a multi-party document organized so each person only sees and completes their own.
Step 3: Control Signing Order
When signatures have to happen in sequence — for example, internal approver first, then counterparty — set the signing order so Aline requests each signature in turn rather than all at once.
Later signers are only prompted once the earlier ones are complete, which enforces your approval sequence automatically.
Step 4: Add Standard Signature Block Fields
For a complete, professional signature block, include the standard fields alongside the signature itself — name, company, and title. Setting these up once as part of the block means every signed copy comes back with the full execution details filled in.
Step 5: Build Reusable Signature Templates
If you send the same document repeatedly — NDAs are the classic example — don't rebuild the signature setup each time. Create a template with the signer roles, signing order, and field placement already configured.

Step 6: Track Signing to Completion
Once a document is out for signature, monitor its progress from the Summary page. You can send reminders to signers and watch each step complete until the document is fully executed. Completed documents are stored as Signed in your repository.

Line fields up before you send. A misplaced field is much harder to fix once the document is out.
Assign every field to a recipient so no one is asked to complete someone else's block.
Use signing order whenever internal approval has to come before the counterparty sees it.
Include name, company and title so executed copies are complete on their face.
Template anything you send more than twice.
