Create a Workflow from a Template

Use templates in Aline to quickly generate standardized workflows for agreements and approvals. This guide walks you through the full process—from launch to collaboration and tracking.

Step 1: Launch a Template

  1. From the Aline homepage, click ➕ Create

  2. Select Launch Template

  3. Choose the template that matches your use case

  4. Click Continue

💡 Templates are pre-configured workflows designed to save time and ensure consistency.


Step 2: Name Your Workflow

  • Enter a clear, descriptive title

  • We recommend a format like:
    Company – Agreement Type – Date

Example:
Acme Corp – NDA – Jan 2026


Step 3: Assign Roles

Under Assign Roles:

  • Add the counterparty signer (if known)

  • Your internal signatory is likely pre-assigned but you might have to assign yourself as the requestor or template launcher (role can vary) if you have to fill in fields.

💡 Don’t know the signer yet? You can add them later.

Click Continue when finished.


Step 4: Review & Complete the Document

  • The template document will open for review

  • Fill in any required fields (e.g., scope, dates, terms)

💡 Notes:

  • Some templates may not require input at this stage

  • You can move forward and return later if needed

  • All required fields must be completed before signature

Click Continue when ready.


Step 5: Collaborate with Stakeholders (optional)

  • Select Collaborate with internal or external parties

  • Review and confirm the listed collaborators


Step 6: Add Collaborators

To add collaborators (e.g., negotiators):

  1. Search by name or email

  2. Assign them to the workflow

  3. Add a message (optional)

  4. Click Add Collaborator

⚠️ Important:

  • Collaborators receive an email immediately

  • They will be able to review and edit the document


Step 7: Complete Workflow Tasks (optional)

  • Navigate to the Summary page

  • Review the Tasks/Actions section

  • Check off tasks as they are completed

💡 Keeping tasks updated ensures the workflow progresses smoothly.


Step 8: Grant Access to Counterparties

When ready to involve external parties:

  1. Go to Workflow Collaborators

  2. Click Grant Access next to the counterparty

  3. Add a message if needed

  4. Confirm to send access

📧 This sends an email invitation to the counterparty.

💡 Tip: You may choose to wait to grant access until internal review is complete.


Step 9: Share the Document (Optional)

If needed, you can manually share the document:

  1. Open the document from the Summary page

  2. Click Copy Link

  3. Send the link via email


Step 10: Track Workflow Status

Monitor progress using workflow statuses:

  • Negotiating – Document is under review or redlining

  • Ready for Signature – Finalized but not yet sent

  • Signing – Signature process is in progress

  • Signed – Fully executed


💡 Best Practices

  • Use consistent naming conventions

  • Add collaborators at the right time

  • Complete required fields before sending for signature

  • Keep tasks updated to avoid delays

  • Communicate clearly with counterparties
