Aline's new agentic intake turns request workflows into active AI-powered processes. AI reads the intake, reviews attached vendor materials, decides what work is needed, completes low-risk steps, and routes higher-risk items to the right reviewer.

Aline's new agentic intake turns request workflows into active AI-powered processes. Instead of just collecting information and waiting for a team to manually triage it, Aline AI reads the intake, reviews attached vendor materials, decides what work is needed, completes low-risk steps automatically, and routes higher-risk items to the right legal, security, privacy, compliance, or procurement owner.

With agentic intake and workflows, you can:

  • Build reusable, easy-to-configure intake forms for any request type

  • Give AI plain-language instructions for what to do at each phase of a workflow

  • Let AI complete low-risk tasks automatically and assign higher-risk ones to the right reviewer

  • Run privacy and security checks in parallel to reduce bottlenecks before legal review


Step 1: Find or Create a Template

Head to Templates in Aline. You'll see the request process templates already set up for your team — for example, a Vendor Review template.

You and your team only need to set up a template once, then you can reuse it every time that type of request comes in.


Step 2: Build the Intake Form

Every template now supports customizable, easy-to-build intake forms. On the left, you configure the questions; on the right, you see a live preview.

For a vendor review, a typical intake form asks:

  • What's the purpose of the software or service?

  • Does the vendor access Aline's systems?

  • Is personal data shared?

  • What's the due date?

  • (Optional) Upload the vendor's agreement or policy documents

Drag and edit fields to change what's asked — the form preview updates as you go.


Step 3: Add AI Tasks to Workflow Phases

A typical workflow has multiple phases — for example, Intake, Initial Review, Legal Review, and Signature. You can now add agentic AI tasks inside any phase.

Click into a task to write plain-language instructions telling AI exactly what to do every time the workflow runs. For example:

  • Privacy review task: "Read the intake form and incoming vendor documents. If the answer to the personal information sharing question is yes, assign this task to our privacy expert for review. Otherwise, complete the task — no privacy review is required."

  • Security review task: "Read the intake form. If the vendor has access to our systems, assign this task to our security reviewer for a security teardown."

💡 You can mention specific users, the intake form, and documents directly in a task's instructions. Support for mentioning AI playbooks and other assets in task descriptions is coming soon.


Step 4: Launch the Process and Fill Out the Intake

Launch the process from Aline. As an example, when onboarding a vendor for customer success software, a user would fill out the intake — purpose, system access, personal data sharing, due date — and upload the vendor's terms and policy document.

Aline prevents users from launching until all required intake fields are filled out.

💡 Workflows can be launched in Aline today, with Slack, Microsoft Teams, and email intake coming soon.


Step 5: Let AI Run the Workflow Tasks

Once the process launches, you'll see the queued tasks running. Aline AI reads the attached documents, analyzes the incoming request, and works through each task according to your instructions — often running privacy and security checks at the same time.

For each task, AI:

  • Reads the document and the task instructions

  • Adds a comment explaining its reasoning

  • Either completes the task automatically (for example, when the intake indicates no personal data is shared) or assigns it to the reviewer named in your instructions (for example, assigning a security review to the teammate tagged for security)

After the privacy and security tasks are resolved, the process routes to legal review, where your team and AI work the task together.


Other Improvements

  • Resizable AlineSign fields: All fields in AlineSign are now natively resizable, so you can adjust signing and non-signing boxes to fit smaller or tighter layouts.
