Before You Start
Reminders rely on each contract having an expiration date captured as an AI property. If you haven't set that up yet, run an AI report to extract expiration (and, where relevant, termination and auto-renewal) dates first.

Step 1: Open the Report Your Reminder Will Use
Go to your Reports and open (or build) the report that contains the contracts you want to track â for example, a Vendor Agreements report with an Expiration Date column.
Reminders read from these columns, so the data here needs to be accurate before you continue.
Step 2: Create the Reminder
From the report, add a Reminder and choose the date property it should watch (usually Expiration Date). Set how far in advance you want the notification to go out â most teams use 60 days (2 months) before expiration to leave time to renew or renegotiate.
đĄ You can create more than one reminder on the same date â for example, one at 90 days and another at 30 days â for contracts that need a longer runway.
Step 3: Choose Who Gets Notified
Assign an assignee who is responsible for acting on the contract, and optionally add a reviewer so responsibility is shared and nothing depends on a single person.
â ď¸ Only Aline platform members receive reminders. If the person who owns a contract isn't a user in your account, add them first or assign the reminder to someone who is. External counterparties are never notified automatically.
Step 4: Filter Out Expired and Inactive Contracts
Before you turn a reminder on, filter the report so it only includes active agreements. If old or already-expired contracts are still in the set, reminders will fire on agreements you no longer care about.
A simple approach:
Exclude anything already past its expiration date
Filter to the renewal window you actually manage (for example, contracts expiring in the current and upcoming year)
Step 5: Review Before Automating
Run the report once and review the contracts that would trigger a reminder. Confirm the dates are correct and the right people are assigned. Once the list looks right, activate the reminder so notifications send automatically going forward.
đĄ Best Practice: Review flagged notifications manually the first time before switching a reminder to fully automatic. AI-extracted dates are usually accurate, but a quick check catches any contract where the expiration date was read incorrectly.
Handling Auto-Renewing (Evergreen) Contracts
For contracts that auto-renew, the meaningful date is often the notice deadline â the last day to give notice before the term rolls over â not the original expiration date.
