Connecting your CRM to Templates in Aline

Aline allows you to connect your CRM system (such as Salesforce or HubSpot) directly to your templates so information can automatically populate your documents.

By mapping CRM fields to template fields, you can eliminate manual data entry and ensure contract details stay consistent across your systems.

When your CRM is connected to Aline, you can automatically populate template fields with data such as:

  • Customer name

  • Deal name or opportunity name

  • Contract dates

  • Company address

  • Other CRM record fields

This works for documents sent for:

  • Signature

  • Collaboration and redlining

  • Internal review

Instead of manually filling out fields, the data can be pulled directly from your CRM.


Step 1: Open a Template with Custom Fields

  1. Navigate to Templates in Aline.

  2. Open the template you want to connect to your CRM.

  3. Confirm that the template contains custom fields where data will be inserted.

These fields may normally be completed by:

  • Internal team members, or

  • Counterparties signing the agreement.

CRM integration allows these fields to be filled automatically.

Step 2: Connect Your CRM Integration

  1. Inside the template editor, click the Integrations icon on the right-hand side.

  2. Scroll through the available integrations and locate your CRM (for example, Salesforce).

  3. Click Connect.

  4. Authorize the connection.

⚠️ Note: Some organizations require IT or admin approval to authorize third-party integrations. If so, your IT team may need to complete the authorization step.

Once connected, your CRM will appear in the integrations panel.

Step 3: Map CRM Fields to Template Fields

After connecting your CRM, you can map data fields directly into your template.

  1. Search for the CRM field you want to use.

  2. Select the correct field from your CRM record.

Examples may include:

  • Deal Name / Opportunity Name

  • Closed Date

  • Customer Address

  • Account Name

Step 4: Insert the CRM Field Into Your Document

Once you select a CRM field:

  1. Drag or place the mapped field into the location where it should appear in your template.

  2. Position it within the text β€” for example, in the agreement introduction or contract details section.

If an existing manual field already exists in that location, you can:

  • Delete the manual field

  • Replace it with the CRM-mapped field

Step 5: Override Data When Needed

Even when fields are mapped from your CRM, you can still update the values if necessary.

When launching the template:

  • The CRM data will automatically populate the field

  • The user launching the workflow can override the value if corrections are needed

This ensures both automation and flexibility.
